TRIMATRIX Management Consulting Inc. is referred to as “TRIMATRIX”, “we”, “us”, “our” in this privacy policy notice.

We value our relationship with community and clients and we are committed to maintaining the accuracy, confidentiality, security and privacy of customer information. Information provided by you is used only for the following purposes. To:

  • identify and ensure continuous and high quality customer service
  • enable us to contact you by phone, mail or email
  • establish and maintain communication with you
  • offer and provide services in relationship to your business/organization
  • allow us to efficiently follow up regarding products, services and billing, and complete accounting
  • teach, demonstrate and offer feedback
  • comply with legal and regulatory requirements
  • process credit card payments and/or debit transactions, authorized by you


Your personal information will not be sold, leased or provided to third parties. Where we hire other companies or individuals to provide services in partnership with us or for us, we only provide the information they need to provide the service you have hired us to perform and/or to complete business operations. They are required to keep the information confidential and may not use it for any other purpose.


We are committed to protecting the security of your information. Every measure is taken to ensure your personal details are stored safely, protected from unauthorized access, and kept only as long as is reasonably and/or legally required.


If you choose to link from our website to other sites, including accessing links on our site, please note that while we endeavour to include links to only those sites that share our high standards for respecting your privacy, we are not responsible for content, security, or privacy practices of external web sites. By clicking on links, users understand that transfer to other sites and/or any data these sites may gather is outside TRIMATRIX control and responsibility; it is the user’s responsibility to determine suitability to proceed.

In the case where you might link to or from such as your social media accounts, for example sharing such as a blog post or webpage or using a social media account to sign into an online forum, it is your responsibility to ensure your privacy and security settings for your accounts are set appropriately to your preferences and maintained by you.


The lawful bases for processing data are consent (received by sign-up forms or written contract), contract (in support of services contracted or steps to enter into a contract), and legitimate interests (namely to maintain service levels, understand the services and products that would support our clients and potential clients, support our clients and other users with relevant information, and endeavour to grow our business). To help you understand the data we collect and how it is used, we have described ‘usage by access points’ below.

To assist us in offering webpages that supply useful information to the general public, is set up for generic Analytics reporting that includes generalized data such as but not limited to number of sessions (new and returning), number of users and page-views, duration and bounce rate, and language. By using this site, you understand and agree to the gathering of such general data.

Our contact forms supply us with the details that you choose to enter, so that we can contact you with relevant information. Information from the contact form on our main company website ( may be held in our website database on servers managed by our web team at HostPapa. By submitting the contact form, you agree to the collection and storage of information you have included along with associated IP Address.

If you add a comment on any of our Blogs/other websites – such as, facebook/trimatrix4books, etc. – your name, email, website may be captured and stored in the respective site’s database on servers managed by the service provider, along with your IP address (email and IP that are generally not displayed publicly; however which could be recorded in ‘comments’ database to register your comment). Commenter information is displayed with comment depending on what you enter or what you designate in your settings (you can see what’s displayed once you enter your comment and we accept it). By submitting a comment, you agree to collection and storage of information.

If you buy something on our sites, information to facilitate purchase is collected by PayPal – such as payment information, contact information (address and phone number) and details of what you bought. To fulfill the order, PayPal sends us delivery details and contact information (payment details are not supplied to us) by email and recorded within our PayPal account. If you pay offline via email or faxed approval forms, information is secured at our central office. By submitting payment information, you are agreeing to collection and storage of information.

Regarding newsletters that you may receive by email – You would have signed up/given consent via a sign-up form on the respective website/blog or asked us to include you. The information collected, your name and email as entered by you in the sign-up form, is used to communicate information relevant to book publishing and marketing, and occasionally supply other related information regarding services available. MailChimp is the service provider we use to maintain our email distribution lists and the information you enter is transferred to our MailChimp account for the sole purpose of maintaining our lists. When you receive a newsletter and click on the links contained in the newsletter, your clicks are noted via cookies. This allows MailChimp service to track what users are looking at and post a report within our account that allows us to see such as which articles are opened and how often, which helps us identify what information is most beneficial to most users so we can continually improve article content moving forward. By completing the sign up form, you are agreeing to the transfer of this information to MailChimp servers, and data gathering (via cookies) regarding links clicked by you.

Occasionally, for example a large file for book proof review, we may send a digital file to you via our dropbox service provider Hightail (which is now OpenText). The recipient is identified by the email address that we provide, so Hightail can forward or send an email or other notifications to let the recipient know the file is available and allow the recipient to view and/or download the file. These email addresses and notifications may be stored by Hightail for future use and as part of transaction information related to files stored in our Hightail account. In cases where users are uploading, downloading or synchronize files to/from their computer or other devices (such as phone or tablet), depending on the features used, Hightail may access the user’s computer and other devices for the purpose of uploading, downloading or synchronizing the files. Also for large file transfer and back-up, we use dropbox which files may contain book titles, author names, and possibly emails. By working with us and/or using file view/transfer services, you are agreeing to transfer of relevant information to these entities in support of file transfer and/or maintenance.

Some videos on our sites are played via YouTube. YouTube’s default setting allows them to place a tracking cookie on viewer’s computer, which holds data such as name of site being viewed, what pages were visited, what products or content were viewed, etc., so that YouTube can offer to serve other videos based user’s interests each time a users visits a webpage with embedded content from YouTube. We do not receive any personal data, however within our YouTube account we may see general information such as watch time, country viewing, playback locations.  We have taken measures to, in many cases, employ ‘privacy-enhanced mode’ so that cookies are not enabled unless you view the video. If you do not wish cookies enabled, you have the option to not view the video and/or ensure cookies are cleared in your browser settings. Other videos are played via Vimeo where all videos are set to private and download, sharing, etc. options have been removed from displayed videos. Other videos have been created using Magisto, see Magisto Privacy Policy page, where some images of events, for which we have permission to use and/or are part of the public domain, have been uploaded to facilitate video creation. By continuing on webpages with videos and/or viewing videos on our webpages, you are agreeing to cookies as applicable.

BEL Learning Publications programs ( is administered via the ARMember facility, including affiliate facility. By signing up for the tutorials and/or the affiliate program, you understand and agree that, to support user access and provide relevant information, the following information may be collected: user sign-up details such as username, password, first and last name; country and IP address information (also recorded when site is visited from an affiliate link; username recorded in affiliate tracking reports); sending user’s basic details to opt-ins such as email, first and last name; user’s logged in/log out details; payment transaction details (not storing any sensitive payment data such as credit card details).

Each project, program, etc. is evaluated individually during your discussion with one of our publishing consultants. When projects are contracted, relevant information that you enter on our Publishing Services Agreement (PSA), per phone or in-person meeting, is uploaded to Library and Archives Canada (LAC) to set up and maintain your Publisher Records. By completing and submitting the agreement, you are authorizing upload of relevant data to LAC.


You may choose not to receive information from us about our products or services. At your request, we will remove you from our distribution list.

For any email list(s) you have subscribed to, you may change your preferences and/or unsubscribe by clicking on the link at the bottom of any such email.

Canada Anti-Spam Law (CASL) ~ We work very hard to ensure we have confirmed your implied or explicit consent, as is required, to communicate with you by email. If at any time you are uncertain regarding origination of consent, please contact us. If you no longer wish to receive communications, please unsubscribe.

General Data Protection Regulation (GDPR) ~ We have also worked hard to make sure our policies and practices meet this very high standard for data privacy. We’ve updated this Privacy Policy to provide more transparency around our collection, use, and facilities that assist us. And will continue to update this policy page if anything should change.


If you would like access to the personal information we have on file for you, we would ask you to put your request in writing. And, you will be provided with records regarding your personal information to verify or correct information and/or request deletion.


Our products and services are offered to Canadian residents, and the use of our site is governed by our Terms of Use.

We may change this policy from time to time and, if we do, we will post any changes on this page. If you continue to use any of our TRIMATRIX Management Consulting Inc. (TRIMATRIX) websites and/or social media sites after those changes are in effect, you are agreeing to the new policy.
